The Westin Seattle located at 1900 5th Ave, Seattle, WA 98101 is currently hiring a Group Account Coordinator.

Responsibilities include:

The Westin Seattle is looking for a Group Account Coordinator who enjoys conducting research, following up on bill disputes, posting corrections, sending revised bills, monitoring age reports and following up with guests to ensure timely collection of bills. In addition, the Group Account Coordinator will also:

-Load group masters and maintain group blocks in the property management system.

-Manage, input and upload group rooming lists.

-Post group advance deposits, set up billing, coding and remarks on group masters and reservations.

-Assign suites and setting up VIP reservations.

-Establishing and maintaining meeting planner relations.

-Provide clients with pick up numbers, rooming lists, no-shows, and master bills.

-Review master bills while groups are in-house and after departure, ensuring correctness of billing.

-Prepare and post adjustments as needed.

-Prepare and send invoices with proper documentation within three days of transferring to Accounts Receivable.

-Conduct research and follow up on billing disputes, posting corrections, and sending revised bills as required.

-Monitor aging report and follow up with clients to ensure timely collection of bills.

-Work cooperatively with Sales and Operations to ensure successful handling of catering and group business.

-Organize and maintain group files.

Regular attendance in conformance with the standards, which may be established from time to time, is essential to the successful performance of this position. Associates with irregular attendance will be subject to disciplinary action, up to and including termination of employment.

Due to the cyclical nature of the hospitality industry, employees may be required to work varying schedules to reflect the business needs of the hotel. In addition, attendance at all scheduled training sessions and meetings is required.

Upon employment, all employees are required to fully comply with Marriott rules and regulations for the safe and effective operation of the hotels facilities. Employees who violate hotel rules and regulations will be subject to disciplinary action, up to and including termination of employment.


An exceptional candidate will have an energizing yet relaxing personality and:

-Must speak, read, write and understand the primary languages in the workplace.
-Have excellent communication skills, both verbal and written.
-Have the ability to problem solve and make rational decisions.
-Must be able to handle a high volume workload with organization and control.
-Must have a minimum of one year of Front Office or Reservations experience, preferably in the hotel industry.
-Must have experience in property management systems for making/modifying reservations and posting charges.
-Must have knowledge on Microsoft Office functions.

- Must be able to prepare and analyze data and figures, and transcriptions prepared on and generated by computer.

-Bachelors degree in related field preferred.

-Maintain a neat, clean, well-groomed appearance per Marriott standards.

Speak with others using clear and professional language; answer telephones using appropriate etiquette. Develop and maintain positive working relationships with others; support team to reach common goals; listen and respond appropriately to the concerns of other employees. Comply with quality assurance expectations and standards. Move, lift, carry, push, pull, and place objects weighing less than or equal to 10 pounds without assistance. Perform other reasonable job duties as requested by Supervisors.
